THE POSITION

To support the Office Administrator in providing front of house services, facilities management and acting as H&S representative.  This role would suit an apprentice currently studying Business Management and will report to the HR Business Partner – Strategy.

THE REQUIREMENTS

  •  Good communication skills both verbal and written
  • Organised and efficient with good attention to detail
  • An ability to be discreet when dealing with company business
  • Clear, friendly and efficient telephone manner
  • Appearance: smartly presented at all times
  • Good knowledge of MS Office
  • A can do attitude with a bright and happy disposition!
  • An understanding of H&S but full training will be provided

THE RESPONSIBILITIES

  • Front of house
  • Answering the main switchboard line in a timely and polite fashion
  • Dealing with visitors by maintaining site security, issuing visitor badges, obtaining sign in and providing refreshments
  • Checking meeting room calendars on a daily basis to be aware of who is visiting that day 
  • Maintaining all meeting rooms, making sure they are tidy, appropriately stocked with stationery and provide refreshments for meetings when requested
  • Maintaining stationery & keeping stock cupboards tidy
  • Sort and distribute the post and get business post ready and deliver to main building reception
  • Booking of company trains, hotels, flights for all staff making sure costs are kept in mind and the best price has been obtained
  •  Help with client hospitality / staff entertainment when required

Facilities Management

  • Keep kitchens appropriately stocked by managing subsistence orders
  • Maintaining a high level of tidiness within the office and in particular the kitchens to include emptying and loading the dishwashers during the course of the day and upkeep of the coffee machines
  • Assist the Office Administrator where required in the general management of the building

Health & Safety

  • Act as Fire Marshall and assist the Chief Fire Marshall with fire alarm tests and bi annual drills managed by the main building reception
  • Act as one of the company first aiders

This role will work alongside our Office Administrator and will require a level of job share activities.  You will be expected to cover each other for lunch and also sickness and holidays.  The two roles will operate on slightly different working hours to ensure front of house cover between the hours of 8am and 6pm.
